The software for booking rooms at the Nicolini

We set it up in 2020, specifically for the Conservatory, and it is still there: today it manages 44 rooms across six sites, XNL Musica included, and about seven hundred and fifty users.

In a conservatory, rooms are the most contested resource: one-to-one lessons, rehearsals, exams, masterclasses, all in the same spaces and often at the same time. In 2020 we set up the room booking system for the Nicolini, and we have run it ever since.

How it is built

It is based on MRBS, open-source software for booking spaces, which we adapted to the Conservatory and installed on a server in Amazon’s cloud that we manage. On top of it sit the institution’s rules: who can book what, with which priorities, at which times. A guide and a set of rules for users were written together with the software.

What we do, every year

  • we register all the Conservatory’s staff, and check the list regularly;
  • we update the map of the rooms and the timetables when they change;
  • we manage each user’s permissions;
  • we add new spaces and booking priorities;
  • we train the staff, and grow the server when needed.

Today

The system manages 44 rooms across six sites, from the concert hall to San Savino, from Santa Teresa to XNL Musica, and about seven hundred and fifty users.
